Print Management and True Costs of Equipment Leasing
The major players in the copier business are attacking the IT area which supports the printer and multi-function devices in most organizations. Has your copier company approached you to take over your printers? Traditionally, copier companies lease equipment on a per page basis or a per page basis plus a service fee. They want to get you into a long contract and centralize the equipment into a couple locations to offer you low per page cost. IT people are used to de-centralized printing (printer/fax right next to you) because it‘s convenient. Which way is better? It depends upon your work area. The cost per page is slightly lower with a copier multi-function; however, the waste of staff time usually counters any savings from this centralizing approach. The printer and printer based multi-function devices have a longer life span and break down less often. What is the true cost difference? Very little! Which one should you choose? First, the IT department and the purchasing department who usually sign copier leases need to sit down and go over your office setup. If there are areas of high printing volume very close to each other (a couple of steps)then a centralized printer or copier would work. However, if your staff needs to get up, walk to the centralized copier or printer, maybe visit each other and have a coffee break, then the centralized so called cost saving device will cost you a bunch more in lost staff productivity. In addition, most companies own their own printers. Copiers mostly leased. Leases are great when you do not have the capital to spend on equipment. However, if you already have good printers why replace them. The best way to determine the best mix is through an audit process. The audit will determine your true paper usage (how many pages per device), true service cost and actual per page cost. Be careful of per page programs if you do not know your printing volume. Low per page cost sounds great, however, the minimum monthly requirement of leases sometimes double and even triple your cost per page. In fact, the majority of the leases are setup to greatly understate your TRUE per page cost.
